Overview
The Google Workspace integration allows Employee Management in the Google Workspace interface to easily enable or disable an employee’s PDK access. Google Workspace serves as the sole source of truth; data moves in one direction, syncing from Google Workspace into PDK. Any changes made directly in PDK will not sync back to Google Workspace.
Configuration
Requirements
- The Google Workspace integration is only available for PDK.io 2.0 Customer Accounts.
- A Partner with Integrator permission is required for the initial setup of the Google Workspace integration. For more information, refer to the article on Integrations.
- The integration requires a user with the Super Admin role in Google Workspace to connect the accounts.
-
The Admin must allow ProdataKey to access the following permissions when connecting your Google Account:
- View customer-related information
- View audit reports for your Google Workspace domain
- View groups on your domain
- See info about users on your domain
Group Mappings
Google Group - Select the Group created in Google Workspace.
PDK Group - Select the Group created in PDK.
Partition - Select the PDK Partition that will be used.
Automatically issue Bluetooth credentials - Select whether to automatically issue Bluetooth credentials to users in this Group Mapping.
Automatically issue Mobile App credentials - Select whether to automatically issue Mobile App credentials to users in this Group Mapping.
NOTES:
- If a user already has an active Digital Credential in PDK when this box is checked, the system will not issue them a duplicate.
- Automatic Digital Credential issuance for the integration can only be configured on this screen.
- Digital credentials cannot be viewed or managed inside Google Workspace.
Select Save.
Select + Add group mapping to add additional mappings.
Reset Syncing - Select this to manually resync data from Google Workspace to PDK. Depending on system size, a full reset sync can take a significant amount of time. You can force a sync for a single individual by making a minor change to that user's profile inside Google Workspace.
Reauthorize - Select this to reauthorize the integration to the Google Workspace account.
Connect Another Account - Select this to link an additional Google Account to the PDK system. You can connect multiple Google accounts to a single PDK system, or connect multiple PDK systems to a single Google account.
FAQs
Q: Are there any Custom Fields that will be added to the PDK Partition after enabling the integration?
A: No, there are no Custom Fields in PDK; they are added to Google Workspace.
Q: Where can Card numbers be added in Google Workspace?
A: When the integration is enabled, a Custom Field in Google Workspace will be created under User Information called ProdataKey.
Q: If I enter Card numbers inside of Google Workspace, how will that be reflected in PDK?
A: Cards added this way will have the description Added by Google Workspace.
Q: When will the system resync?
A: Every time there is a change made to a user in Google Workspace, there will be a resync for that individual. A manual resync can be performed using the Reset Syncing button, but it may take longer for larger systems.
Q: If a user is suspended in Google Workspace, what will happen to the PDK user?
A: The user will be disabled in PDK, and their physical/digital access will be revoked.
Q: If a user is deleted in Google Workspace, what will happen to the PDK user?
A: The user will also be deleted in PDK, including all of their historical profile information.
Q: How is the data being synced between the platforms?
A: Data is strictly one-way, moving from Google Workspace out to PDK. If you add credentials or make profile changes directly in PDK, it will not affect Google Workspace, and those changes may be overwritten during the next sync.
Q: Why am I seeing duplicate users being created in PDK?
A: The integration uses email addresses to match records and prevent duplicates. If a user already exists in PDK, ensure their email address is written exactly the same way in both Google Workspace and PDK so the system can link them successfully.
Q: I successfully connected my Google account, but no users or data have synced over yet. Why?
A: Simply connecting your Google account will not trigger an initial sync. Data syncing will begin only after you have explicitly configured and saved your Group Mapping.
